How to Choose an Event Photographer and Videographer in Dubai (Part 2)

Choosing an event photographer and videographer in Dubai

You know what good event coverage looks like. Now comes the real decision: how to choose an event photographer and videographer in Dubai, brief them properly and get content you can use long after the guests have gone home.

This second part gives you the checks to make, the brief to send, what drives the cost and how to reuse every image.

How to choose an event photographer and videographer in Dubai

Ask to see event work, not only polished portraits or studio ads. Look at how the team handles low light, crowds and fast moments. Then check four points:

Check What to look for
Event experience Have they covered conferences, launches, exhibitions or galas similar to yours?
Photo and video together One team for both keeps the style consistent and avoids two crews getting in each other's way.
Delivery time A first selection within 24 hours and the final edit within an agreed number of days.
Back-up and rights Two cameras, spare batteries, a plan for failures, and clear usage rights for web, social media and print.

During the first call, listen to the questions the team asks you. A good crew asks about your audience, your key moments and where the content will be published. A weak one only asks for the date and the number of hours.

Brief the team in writing

Send the brief a week before. Share the programme with timings, the venue plan, the names and titles of key guests, your brand guidelines and the platforms where you will publish.

Add a list of must-have shots and a short list of what to avoid, for example competing sponsors or guests who prefer not to be photographed.

  • Programme and timings: so the crew is in the right room at the right minute.
  • Key people: names, titles and a photo if possible, so nobody important is missed.
  • Must-have shots: five to ten moments, in order of priority.
  • Restrictions: people, areas or brands that must not appear.

Decide the end use and the crew size

The end use changes the way people shoot:

  • A website video needs steady shots and clean sound.
  • Social media clips need strong vertical framing.
  • A guest gallery needs quick delivery.

A team that knows all three can plan everything in one visit instead of asking for a second day.

Also ask who will be on site. A 50-guest dinner may need one photographer, while a conference with two rooms and a gala needs a small crew, and the quote should follow that logic.

Name one contact person who can answer questions during the day, so the team never misses a key moment waiting for a decision.

Send us your programme: we will tell you the crew you really need and what you will receive.

What drives the cost of event coverage

Two quotes for the same event can look very different. Before comparing them, check that they cover the same things:

Cost driver Question to ask
Hours on site Does the time include set-up, rehearsals and the end of the evening?
Crew size How many photographers and videographers, and who covers parallel rooms?
Deliverables How many edited photos, which films, how many vertical clips?
Editing time Same-day selection, express edit or standard delivery?
Usage rights Web, social media, print and paid ads, and for how long?

The cheapest quote is rarely the cheapest result. If the gallery arrives late or the sound is unusable, you pay for a second event without the content of the first.

Plan the reuse

Photos can feed a newsletter, a case study and your next invitation. Video can open the next event or support a sales presentation.

Make a simple plan for the weeks after the event: a recap post the next day, a thank-you message to guests with the gallery, a short film on LinkedIn the following week, and a selection of images kept for the next edition's invitation.

This is where a professional team pays for itself: it thinks about what you will do with the content, not only about the shoot.

Frequently asked questions

How many people do I need to cover my event?

It depends on the size and the programme. A small dinner can be covered by one photographer; a conference with parallel sessions, interviews and an evening gala usually needs a photographer and a videographer, sometimes more.

How fast can I receive the photos?

Agree on it before the event. A common set-up is a few photos sent live, a first selection within 24 hours and the full gallery and highlight film within an agreed number of days.

Can you deliver content in vertical format for social media?

Yes, if it is planned in the brief. Vertical clips are framed differently from a horizontal website film, so the team needs to know which formats you want before the day.

Who owns the photos and videos after the event?

Usage rights should be written in the quote: where you can publish (website, social media, print, ads) and for how long. Ask for this point in writing.

How much does event coverage cost in Dubai?

The price depends on the number of hours, the size of the crew, the deliverables and the editing time. Send us your programme and we will reply with a detailed quote.
