You will find the five points every brief needs, the questions to ask before you book, how to handle rights and consent, and how to plan the life of the content after the event.

How to brief a corporate event coverage team in Dubai

Send the team a written brief at least one week before the event. It should cover five points:

Brief item What to include
The agenda Timings, speakers, key moments and breaks
The people A list of VIPs, speakers and executives with names and job titles
The venue Floor plan, access times, load-in rules and the name of the venue contact
The deliverables Number of final images, video formats, deadlines and platforms
The restrictions Areas where filming is not allowed, guests who prefer not to be photographed, confidential sessions

How to choose the team

Ask to see event work in low light and in busy rooms, not only polished studio images.

Check how many people will cover the event. A photographer and a videographer working together capture far more than one person trying to do both.

  • What back-up equipment does the team bring?
  • How fast can a first selection be delivered on the day?
  • Are editing and retouching included?

Rights and consent

For an event with guests, include a short notice at registration that photos and video will be taken.

If you plan to use the footage in paid advertising, confirm this with the team and, where needed, with the people who appear.

Plan the life of the content

Decide who posts during the event, who approves the recap and where the images will live afterwards: the news page of your website, LinkedIn, an email to clients or next year's invitation.

Appoint one person on your side as the decision maker during the event. When the crew needs to know whether to follow the chairman to the next room or stay on stage, a quick answer saves a key moment.

When a professional team is worth it

A professional team is worth it when the event represents a major investment, when senior executives or important clients attend, or when you need content during the event itself.

A specialist team brings experience of timing, discretion and light, so you can focus on your guests. In short:

  • Decide what the content is for before you decide what to shoot.
  • Send a written brief with the agenda, VIP list and venue details.
  • Pair a photographer and a videographer, and ask for same-day highlights.
  • Plan where the content will be published and who approves it.

FAQ

How early should we brief the coverage team?

Send a written brief at least one week before the event, with the agenda, the VIP list, the venue details, the deliverables and any restrictions.

Do we need both a photographer and a videographer?

For most corporate events, yes. Two people working in parallel capture far more than one person switching between photo and video.

Can we get content during the event itself?

Yes, if it is planned in the brief. A first selection of images and a short clip can be prepared on the day for social media.

What if some guests do not want to be photographed?

List them in the brief as restrictions, and add a short notice at registration that photos and video will be taken.

Can we use the footage in paid ads?

Confirm it with the team before the event and, where needed, with the people who appear in the footage.
